Local servers, NAS and shared files

A server or network-attached storage device, often called a NAS, can provide a shared place for files and applications. Start with the number of users, the programs involved and who should be able to read or change each set of files. Mention existing equipment and whoever manages its accounts.

For a current fault, describe whether everyone is affected, which files or applications are unavailable and any recent changes. If storage reports errors or files are missing, discuss preserving the data before attempting resets or replacement. Explain what backups exist and when a restore was last checked.

Internal and internet-facing services

An intranet or internal application is intended for your organisation's users. A public website or internet-facing application has a different audience and access requirements. Either may run on equipment at your premises or with an external hosting provider, depending on the service and how it will be maintained.

We can discuss setup, hosting options and support for the arrangement you need. Include any domain name, current provider and software requirements in the plan. Domain records, certificates, connectivity and account ownership need attention alongside the server itself, especially when moving an existing service.

Plan backups and service changes together

Identify what needs backing up, how long the business can manage without the service and what a useful recovery would include. A second copy of files is only part of the plan if an application also depends on a database, configuration or licences. Agree on a restore check and where the backup responsibilities sit.

For a replacement or move, plan the change window, the checks users will perform and what happens if the new setup is not ready. Keep the existing arrangement available until the agreed checks pass. Changes to a live service need approval from the person responsible for it.

Know who looks after it afterwards

Agree who handles updates, account changes, renewals, backup checks and faults after setup. Hosting fees and software subscriptions need identifying before the work starts. Ask about support availability and response arrangements rather than assuming they come with the equipment or hosting account.

Keep domain and hosting accounts under the owner's control, with recovery access they can use. If another provider already supports part of the system, include them in the handover and record where each person's responsibility starts. Scope and ongoing support can then be agreed without duplicating the existing arrangement.
