A visit can focus on an individual computer, printer setup or investigating a connection problem. Explain whether one person or the whole office is affected, what still works and when the fault began. That helps separate a device problem from something affecting the shared network or an outside service.
Agree on the task before booking. If a fault involves a leased printer, specialist application or internet service, its supplier may need to be involved. Having their support contact and any existing fault reference ready can avoid starting the same investigation again.
Working alongside your existing provider
You can keep your current IT arrangement and ask about a specific onsite job. Share the checks your provider has requested and arrange a contact who can be available during the visit. If they need photographs, device details or a connection checked, include that in the agreed scope.
Before changes begin, establish who can approve them and which systems may be accessed. Managed accounts, network settings and security tools need their owner's involvement. Keep passwords and verification codes out of the enquiry; access can be arranged with the authorised person during the work.
Plan around the working day
Mention the tasks that must stay available, such as taking payments, answering calls or accessing bookings. Discuss any interruption before work begins and identify a suitable time to test shared equipment. A staff member who can show the fault and check the result is useful to have there.

Leave the next person useful information
Agree on what a successful visit should demonstrate. That might be a workstation reaching its usual files, a test page from the affected computer or a connection checked with your provider. Test the everyday task with the person who uses it, rather than stopping when an error disappears.
For a job involving another provider, agree who receives the findings and what needs recording: equipment checked, changes made, results and anything still unresolved. If further work needs a supplier or a separate visit, discuss that before expanding the job.
